PRODUCTIVE PROPERTY MANAGEMENT
MAINTENANCE PROCEDURES
Productive Property Management realizes that
maintenance is the key to protecting the property’s value, keeping
residence happy and reducing turnover. Maintenance is given a high
priority and maintenance personnel are carefully screened regarding
their experience, performance and background. Maintenance individuals
applying for employment are first required to pass a rigid test to
determine their knowledge and skills prior to being hired on-site.
Whenever
possible work is conducted through on-site staff. In the event the job
is beyond the qualifications of the staff or they are overloaded due to
high turnover or absence of an employee, the work is contracted out to
competent individuals who have been selected from our pre- approved
contractors list.
Work
orders are monitored from our offices to make certain work is being
satisfactorily completed on a timely basis. When work orders are left
outstanding for more than a 24 hour period, a follow up must be done to
keep the resident informed as to when the work will be completed and
the reason for the delay.
The
supervisor assigned to oversee a property is required to inspect the
exterior both from a marketing perspective, as well as a maintenance
stand point. Vacant units are inspected weekly and maintenance rooms
are checked to review their condition.
When
major work is needed on the property where the staff is not going to be
used (exterior paint, landscapers, construction, etc.), outside
contractors are selected through competitive bidding. All contractors
are required to provide proof of general liability and workman's
compensation insurance before work is performed. The scope of work to
be performed is given to the contractors to make certain the bids are
on the same basis. Once a contract is accepted and the draw schedule
established, the work is carefully monitored by the project supervisor.
As monies are paid to the contractor, lien releases are required to be
executed by an officer of the contractor. This prevents future problems
with liens due a contractor not paying their help or making any future
claims against the property.
It is
Productive's policy that preventive maintenance programs be established
on a seasonal basis and implemented throughout the year accordingly.
Productive's
approach to maintenance has proven to be effective in keeping expenses
down while performing quality service.
